The agreement between your company and United Applications Ltd for the use of HubTrack.

Who this is between
These terms are between United Applications Ltd, a company registered in England and Wales, company number 16955835, registered office 20 Wenlock Road, London, N1 7GU — and the company whose staff use HubTrack. If you are creating an account on behalf of your employer, you are confirming you are allowed to agree to these terms for them.
What HubTrack is, and what it is not
HubTrack helps construction companies keep track of jobs, documents and the paperwork a client asks for before letting you on site. It organises what you already know and prepares what you would otherwise retype.
HubTrack does not make you compliant, and does not guarantee that any document it produces satisfies any law, regulation, scheme or client requirement. It is a tool that saves time. Responsibility for what you submit, sign and rely on remains yours.
We say this here in the same words we use everywhere else, because a product that quietly implies otherwise in its marketing and disclaims it in its terms is doing something we would rather not do.
What Simon does
Simon is the AI assistant built into HubTrack. He reads documents you give him, drafts paperwork, and fills in what he already knows about your business.
Simon prepares; you approve. Nothing Simon produces is sent, signed off or treated as final until a person has read it and said so. Every document he drafts is fully editable. You are responsible for checking his work before you rely on it — the same as you would with anyone else’s draft.
Your data is yours
The job records, documents, prices and company information you put into HubTrack belong to you. We do not sell it, we do not use it to train anything for anyone else, and we do not hold it hostage.
You can export it, and you can do so without asking us or giving a reason. If you stop paying, you can still get your data out.
Compliance records outlive your subscription
Sign-off records and the audit trail are kept indefinitely and cannot be edited or deleted, including by us. That is deliberate, and it protects you: a record of who approved what, on which date, against which version of a document, is only worth something if it cannot be changed afterwards.
It also means closing your account does not erase those records. Our privacy notice explains what this means for erasure requests.
Your account
- Keep your password to yourself. Anything done with your account is treated as done by you.
- Turn on two-step verification if your company handles anything sensitive. We strongly recommend it, and where an administrator requires it you will be asked for a code at sign-in.
- Tell us promptly if you think someone else has access to your account.
What you must not do
- Try to access another company’s data
- Probe, scan or attack the service, or attempt to bypass its access controls
- Upload anything unlawful, or anything you do not have the right to upload
- Resell access to HubTrack without our written agreement
Security researchers are welcome. If you find something, tell us before you tell anyone else and we will not come after you for looking.
Availability
We work to keep HubTrack available and we take backups, but we do not currently offer a contractual uptime guarantee. If you need one, talk to us before you commit to anything that depends on it.
Our liability
Nothing here limits our liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit.
Beyond that, and because HubTrack is a tool rather than a guarantee, we are not liable for losses arising from decisions you take using it — including work submitted, priced, approved or declined. Our total liability is limited to the fees you have paid us in the twelve months before the claim.
Ending it
You can stop using HubTrack whenever you like. We may suspend or end an account that breaks these terms, and we will tell you why. On closure your data is available for export, and the compliance records described above are retained.
Changes
If we change these terms we will update this page and change the date at the top. Material changes will be told to you directly, with reasonable notice before they take effect.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
