Everything HubTrack does, and what each part saves you

This is the whole of HubTrack — construction management software that carries a job from the first tender document to the final handover, without anything falling down the gap between one stage and the next.

Every heading below is what you get out of it. Every line underneath is how it works. Nothing here is a preview of something we intend to build.

One track, seven stages — and the next step always on screen

Every job in HubTrack moves along the same track: Opportunity, Tender, Submission, Mobilisation, Delivery, Handover, Aftercare. Everything below hangs off that spine, which is why nothing needs re-keying as a job moves — what you learned at tender is still there at handover.

  1. Opportunity
  2. Tender
  3. Submission
  4. Mobilisation
  5. Delivery
  6. Handover
  7. Aftercare

Bid for more work, and bid better

Winning work starts long before the site does. HubTrack's tender management keeps every bid, every deadline and every clarification in one place, so the better-prepared firm is yours.

  • Every tender in one queue, with its return datenothing lost to a deadline nobody was watching
  • Tender documents read for you in minutesSimon pulls out the scope, the risks, the exclusions and every key date, each linked back to the page it came from so you can check it
  • A bid or no-bid decision you can defendmeasured against your own rules for work type, region, value and risk, with plain reasons
  • Red flags raised before you commitcommercial, programme, contract and resource risks surfaced while you can still walk away
  • Every live bid on one boardstage by stage, with countdowns, so the whole team sees what is due
  • Clarifications trackedthe questions you asked, the answers you got, and the ones still outstanding
  • Scope, exclusions and assumptions written onceand carried into the pricing, the enquiries and the submission
  • Prices built the way you build themlabour, plant, materials, prelims, margin, contingency, with the assumptions attached
  • Subcontractor returns side by sideinclusions, exclusions and price compared, so the cheapest number stops winning by default
  • The submission pack assembled from the checklistwhat was asked for, ticked off, exported
The bid board — every live tender, stage by stage, with countdowns.

And when you win, nothing is retyped. The scope, the risks, the clarifications and the prices move into delivery with the job.

Safety paperwork done properly, in an evening rather than a weekend

HubTrack asks you about the job — one question at a time, like a conversation, not a twelve-page form — and builds the documents from your answers. You review every word before anything is issued.

  • A conversation, not a formSimon asks what the work is, how long, how many people, which trades; you can type an answer in your own words
  • The documents a job actually needsrisk assessments and method statements, COSHH assessments, the construction phase plan, toolbox talks, induction material
  • Built for the job in front of youa three-trade fit-out gets three method statements; a single-trade job gets one
  • Simon proposes what is missingreading the scope and the trades, with the reasoning shown beside each suggestion, and nothing added without your say-so
  • Fully editable, alwaysevery generated document is yours to change
  • Sign-off is a recorded actwho confirmed it, when, and the exact wording they agreed to
  • A site-start gate before Mondayone honest figure and the named next blocker, so you find out on Thursday that the supervisor is not named yet
The conversation — one question at a time, answers in your own words.

HubTrack is a time-saving tool, not a compliance manager. No software can take responsibility for safety off your shoulders, and you should be wary of any that says it can. What HubTrack does is make the paperwork fast, consistent and provable — so the hours go into the job instead of the documents.

Nobody turned away at the gate

A lapsed card is normally discovered when somebody is sent home from site, and the spreadsheet that would have caught it is the one nobody opened. HubTrack keeps the register and does the watching.

  • Everyone who works for you, in one registerincluding the people who will never have a HubTrack login, because they are exactly who a site asks about
  • Cards, tickets and certificates on recordtype, issuer, reference, issue and expiry, with the certificate itself filed against the person
  • The training matrixyour people down the side, their qualifications across the top, every cell reading valid, expiring, expired or not held
  • Warnings before a card lapses, not afterwith your own notice periods, because a first-aid renewal and a plant ticket book at different lead times
  • What the company is short of, worked out for youread from the matrix rather than typed into a plan that is out of date by Friday
  • Course bookings that become the recordbook the people on, and when they pass, the certificate is already there
  • What training has cost you this yearthe answer that gets asked at renewal and on every prequalification form
  • A competence check against one jobis there a named supervisor and a first aider, are their tickets in date across the dates the work is happening
The training matrix — people down the side, qualifications across the top.

The matrix exports, because the place most firms are asked for one is halfway through a prequalification form.

Know who you are using, and whether they are covered

One register for every firm that works for you — so the question “is their insurance still in date?” has an answer you can find in ten seconds.

  • Every subcontractor in one directorytrade, contacts, and which of your jobs they are on
  • Insurance and its expiry on the recordvisible before they start, not after something happens
  • Enquiries go out from the directorythe package built from the tender scope, the letters generated, the issue logged
  • Returns compared like for likewhat each firm included, excluded and qualified, beside the price

The office and the site looking at the same job

HubTrack is a company account, not a personal one. Everyone who needs the job can see the job — and only the people you invite, at the level you set.

  • Invite your team by emaileach invitation naming the company and the role, and expiring if it is not used
  • Roles that mean somethingowner, admin, and the people who need to get on with the work; what someone can see and change follows their role
  • One company at a time, deliberatelyevery screen belongs to exactly one company, so nothing from one job can leak into another
  • Documents in one libraryevery file the company holds, named, dated and tied to its job and stage, searchable
  • Files are private by defaulta document is reachable by the people in that company and nobody else, and links expire
  • Photographs shrink before they uploadbecause the constraint on site is the signal, not the storage
  • Work for more than one firm?switch between them, with the two kept completely apart

A record you can hand to anyone who asks

The value of a compliance record is that it can be trusted. HubTrack's record is built so it cannot be quietly tidied up afterwards — including by us.

  • Every significant action recordedapprovals, exports, sign-offs and sensitive changes, with who and when
  • The record cannot be edited or deletedit is append-only and cryptographically chained, so an altered history does not go unnoticed
  • Sign-offs keep the exact wordsthe wording shown at the time, the template version, and the rule set it was written against
  • It outlives the subscriptiona sign-off record is evidence, and evidence does not expire when a card does
  • Take everything with you whenever you likea full export of your company's data, including the audit trail and its hashes, so someone else can verify it without taking our word for anything

Turn the ESG and social value questions into work you win

Main contractors and public bodies pass environmental and social questions down the supply chain, and UK government work carries a mandatory social value weighting. Most firms answer them from memory on a Sunday evening.

  • Answers assembled from what your jobs already recordedtraining given, toolbox talks delivered, waste handled, local labour and apprenticeships
  • A readiness view before the tender landswhere your evidence is strong, what is thin, and what to do about it
  • Proven, not merely declaredthe difference between an answer backed by a record and one that is simply asserted

HubTrack never certifies your environmental or social performance. It lets your own evidence answer the question — which is both the honest version and the stronger one.

Built to survive a main contractor's security questionnaire

The firms you want to work for increasingly ask how their data is handled before they let you near their projects. These are the answers.

  • Two-factor authenticationusing an authenticator app, which works on a site with no signal
  • Your data lives in the UK and EU
  • Every business record belongs to exactly one companyenforced in the database, not just the screens
  • You can export everything, at any time
  • You can close the account and have your data erasedwith a grace period, because the request itself is sometimes the attack
  • Nothing to installit runs in a web browser

What it deliberately does not do

Software that claims everything is usually good at nothing, so here is where the edges are:

  • It is not your accounts package. No payroll, no invoicing, no ledger — HubTrack sits alongside whatever you already use for money.
  • It is not a CRM. Client records go as far as a job needs to inherit them, and no further.
  • It is not a carbon calculator. Embodied carbon and lifecycle analysis are a specialist field with specialist tools. HubTrack's job is the evidence and the paperwork.
  • It is not a compliance guarantee. It is a tool that saves you time and keeps your evidence straight. The responsibility stays yours, as it should.

Questions people ask

What does HubTrack do?

HubTrack is construction management software for small and medium contractors. It carries a job from the first tender document through to handover: tendering and pricing, the safety paperwork each job needs, your people and their qualifications, the firms you use, and a record of every approval along the way — all in one place, so nothing is retyped between one stage and the next.

Do I have to change how we work?

No. HubTrack follows the way a job already runs — enquiry, tender, submission, mobilisation, site, handover. What changes is that the next step is on the screen instead of in somebody's head.

Can more than one person use it?

Yes, and it is built for that. HubTrack is a company account: invite your team, set what each person can do, and everyone works from the same jobs and the same documents. Pricing is per company, not per seat, so adding your office manager does not cost you more.

Does it write my RAMS for me?

It drafts them from a conversation about the job, and you review, edit and sign off every one — nothing is issued that a person has not put their name to. If risk assessments and method statements are all you need, our sister product RAMS AI does exactly that and nothing else.

Is my data mine?

Entirely. It lives in the UK and EU, you can export all of it whenever you want — including the audit trail and its hashes — and you can have it erased if you leave.
